Privacy statement of Auto Export Verzekering

To arrange Dutch export insurance with white export plates, we need some personal details. This statement explains which data we process, why, with whom we share it, how long we keep it and which rights you have under the General Data Protection Regulation (GDPR).

Who we are

Auto Export Verzekering, Oude Boekeloseweg 33, 7553 DS Hengelo, the Netherlands, registered with the Dutch Chamber of Commerce (KvK) under number 95291202, is the controller for the processing of your personal data as described in this statement. Which data we process

We only process the data that is needed to give you a quote, to issue the export insurance and the green card, to prepare the white export plates and to send you an invoice. Depending on your request this is:

  • Your name, or the name of your company with its address and VAT number.
  • Your phone or WhatsApp number and your e-mail address.
  • The Dutch registration number of the vehicle and the vehicle details that belong to it; for a light trailer or caravan without its own registration, its chassis number (VIN) and the registration number and country of registration of the towing vehicle.
  • The destination country, the start date of the insurance and, for delivery by post, the delivery address and a contact phone number.
  • A copy or photo of your identity document when the insurer requires it for the policy, or when you send it to us by e-mail or WhatsApp for a remote RDW export deregistration; we ask for it only in those cases.
  • If we carry out the RDW export deregistration for you: the details of your driving licence, identity card or passport and of the registration card with the tenaamstellingscode.
  • The content of the messages you send us via WhatsApp, e-mail or the request form.

Why we process your data

We use your data to answer your request and prepare a quote, to take out the export insurance with one of the insurers we work with, to have the green card issued, to prepare the white export plates with the correct registration number, to carry out the RDW export deregistration if you ask us to, to deliver the plates by DHL Express if you choose that option, to send you an invoice and to keep our records in line with Dutch tax and administrative law. The legal basis is the performance of the agreement with you, the steps you ask us to take before that agreement, and our legal obligations. We use your data only for these purposes.

With whom we share your data

We share your data only with parties that are needed to deliver the service: the insurer that issues the export insurance and the green card, DHL Express when the plates are sent by post (name, address and phone number of the receiver), and the provider of our e-mail and messaging services, which hosts the messages you exchange with us. If we carry out the RDW export deregistration for you, at our office or remotely, we pass the personal and vehicle data needed for it to the RDW, the Dutch vehicle authority, as a recipient, in order to perform the agreement with you. WhatsApp messages are processed by WhatsApp under its own privacy terms. Each party receives only the data it needs for its task. We do not transfer your data to other parties unless the law obliges us to.

How long we keep your data

We keep your data for as long as it is needed to perform the agreement and to meet our legal obligations. Invoice data is kept for the period required by Dutch tax law. A copy of your identity document is kept no longer than needed for the insurer's requirements for the policy or for the export deregistration. Messages that do not lead to an agreement are deleted when they are no longer needed to answer your question.

Your rights

You have the right to access the personal data we hold about you, to have it corrected or completed, to have it deleted when it is no longer needed, to restrict or object to the processing, and to receive the data you provided in a common electronic format. Send your request to info@autoexportverzekering.nl and we will respond within the period set by the GDPR. We may ask you to identify yourself before we act on a request.

If you believe we handle your data incorrectly, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or with the supervisory authority in your own country. We would appreciate hearing from you first, so that we can try to resolve the matter together.

Security

We protect your data with appropriate technical and organisational measures, and we limit access to the people who need it to handle your request. No tracking cookies are used on this website.

Online requests

Online form data is forwarded to us server-side via Discord: your name, address, contact details, registration number, VIN, make and model, requested insurance dates and any delivery details. For handling and security we also send the server-observed IP address, user-agent, inferred device type, browser language and referring page. URL query parameters and fragments are removed. Browser information may be absent or inaccurate; we do not use it as proof of identity or for tracking. RDW lookups send only the registration number to RDW Open Data; VIN and owner details are not public there. Do not upload documents through the form. We use this information for your request and security, not marketing. Access to request messages must be limited to authorised staff; the retention periods and rights described above also apply to Discord.
